International Gadgets is a multinational company with more than 1,300 employees and making over $4 billion in revenue. Its headquarters are in Manchester and New Hampshire. It focuses on designing, manufacturing, selling, and supporting various low and high-tech business productivity tools. The Company has been running several manufacturing facilities in Detroit, Michigan, and Shanghai in China. It has been outsourcing the production of some parts to suppliers in Vietnam, China, Brazil, and the United States. Also, it has opened sales offices in New York, Chicago, Los Angeles, London, Munich, Paris, Moscow, and Brussels. It sells its products across Europe and in China through a partner firm. With such a complex business network, the Company needs to have effective corporate communication.
Communication between the various Company’s departments is on the verge of breaking. Global expansion has come with a range of problems, and for the Company to solve them, it needs to warrant effective communication over a centralized channel. Being a multinational company, IG’s internal communication faces many obstacles related to cultural factors, such as intercultural differences that affect interaction or information sharing between various parties involved in business operations. Because of that, the Company has been experiencing many problems it would otherwise avoid with adequate and proper communication. Think of these examples:
The Company lost a customer because Detroit Manufacturing did not inform Company’s sales team that a product would be delayed due to unavoidable circumstances in the U.S. West Coast ports. It experienced a severe decline in profits in the European Market because the information about unexpected Switzerland’s currency devaluation was vague for the management to interpret or forecast and plan for unprecedented events appropriately. Miscommunication in these two scenarios indicates that the Company’s internal and external communication is already broken and, therefore, in need of a practical resolution.
There is a need for direct communication between employees, across departments, and the management. Therefore, the objective of this proposal is to help the Company:
Planning is power. Most communication problems happened over schedules and failed expectations. Department managers are responsible for managing business processes and reporting to the management every other issue that arises. If there is a communication problem, it would be difficult to have things run smoothly, which would be a big problem for the entire Company. Products and services’ quality would be impacted, customers would not get their products on time, which would also be harmful in achieving business objectives. To avoid all that, the Company needs to have an effective internal and external communication plan for ensuring that information is shared well between multinational teams, across various departments, suppliers, and manufacturers.
Respectful and inclusive collaboration is required to engage every other team member, organizational departments, suppliers, manufacturers, and stakeholders if necessary in ongoing conversations related to the business operations. According to Bordeianu & Lubas (2013), department managers need to communicate consistently with every other team member based on their job roles to make sure they are informed about what needs to be done or even goals that need to be achieved. They would ensure individuals take necessary actions and, as a team, does their part in achieving those goals. Also, principles of effective communication require people to disclose every other information that is likely to affect business operations if retained or misunderstood.
One more thing to understand is that having effective external communication does more than simply managing and distributing information across various suppliers, manufacturers, or even customers. It fosters a good business relationship based on trust that, in return, creates a strong business culture for the entire Company.
Multinational teams struggle to succeed, which has always been a big problem for many global companies. As evidenced in IG’s case scenario, international teams do not share information and knowledge enough with each other as much as they would be expected. The Company should try to figure out why is that and what are some of the problems these teams face, and how they can overcome them. Since the teams are diverse with people coming from different geographic locations and with different kinds of differences, there is a need for evaluating which of these differences matter for sharing knowledge and information in these teams, and which ones matter the most.
After the evaluation, the Company needs to develop a plan to support or foster both internal and external communication. Doing so is expected to improve collaboration between teams across borders, build trust, and most importantly, create an environment where people work in cooperation.
Effective communication involves precise, timely, and transparent exchange of information that supports business operations and success at work.
